Our small voluntary aided school is looking for an Office Administrator. At St Mary’s this is a key role within our happy and cohesive team for someone who is positive and approachable with outstanding interpersonal and communication skills.

We need someone who can not only work as a member of the team, but also use their own initiative, demonstrate excellent organisational skills and the ability to prioritise their workload. You will need to work to defined standard business processes in performing wide and varied administrative tasks having due regard to confidentiality and safeguarding. Additional hours may be occasionally required in the school holiday, particularly to prepare for a new school year.

We need someone resolutely unflappable who can:

  • demonstrate good IT skills
  • create, manage and manipulate information relating to finance, pupil or staffing or any other service requirement, being prepared to undertake training in use of any unfamiliar system.
  • undertake a range of financial management processes including processing orders, resolving issues, budget monitoring, reconciling accounts and handling cash.
  • develop basic systems and processes to meet operational needs ensuring the high quality of information held and being able to produce bespoke and complex reports
  • be responsible for the organisation of events, trips and excursions including booking venues, arranging transport, issuing invitations, compiling paperwork and overseeing financial matters.
  • oversee routine health and safety procedures
  • keep the school website updated
  • work with governors, undertaking some occasional additional paid hours in the evening to act as meeting secretary for governing body committees

You will have an awareness of the issues surrounding children’s safeguarding and will be able to manage and maintain the school Single Central Record. Being able to handle sensitive and confidential information with complete discretion is essential.
