Responsible to: Executive Principal

Hours: Full time and permanent, 42 hours per week, Monday to Friday with additional hours during the academy’s holidays.

Purpose of the Post

  • Ensuring that the general management, finance, organisation and administration of the school supports its vision and aims; promoting the highest standards of business ethos within the administrative function of the school.
  • To strategically ensure the most effective use of resources and operations in support of the schools learning objectives through developing improvement plans annually.

  • The professional leadership and management of administration and finance support to ensure an efficient service across the school.
  • Advising and contributing to the marketing of the school.

  • In conjunction with the Chief Finance Officer undertake projects and related tasks which promote sustainability and statutory requirements.

  • To provide a fully confidential secretarial and personal assistance service and to be the main contact between the Principal and all personnel, both within the school and in relation to external arrangements.

  • To ensure efficient administrative support to the Principal and Senior Leadership Team within school.

  • To act as the first point of contact for the Principal and in all dealings demonstrate care, diplomacy, professionalism and courtesy.

Main Responsibilities (School Office Manager)

The following roles and responsibilities are not exhaustive but gives an outline of the tasks the postholder is responsible for. They do not necessarily carry out all the tasks themselves, but they ensure that the tasks are being completed.

Financial Resource Management

  • To be responsible for ordering resources etc in line with the Trust’s financial procedures.
  • To actively seek additional funding, preparing bids appropriately.

  • Ensure return of all statistical information (relevant to role) including statutory returns.

  • To proactively deal with any other financial matters relating to the school.

Administration Management

  •  Design, maintain and monitor administrative systems that deliver outcomes based on the school’s aims and goals, to include, but not limited to appropriate databases, archives, filing systems and contact lists.
  • To ensure the school website is updated with pictures and content, and to ensure that all statutory information is uploaded ensuring compliance.

  • To lead and manage support staff in administration, finance and lunchtime support roles.

  • To minute and facilitate meetings as requested.

  • To undertake switchboard, reception and hospitality duties as requested.

  • Be aware of the General Data Protection Regulation and other legislation to ensure confidentiality of records and information.

  • To take a shared responsibility for First Aid.

  • To liaise with the Operations and Marketing Lead and Principalto ensure that any cover needs are taken care of.

  • To support and monitor attendance and provide support including home visits as required.

Human Resources

  •  Conduct routine return to work interviews.
  • Complete absence returns.

  • Responsible for operational HR in the school, to include preparation of offer letters and contracts, recruitment process, conducting appropriate safeguarding checks and recording on the single central register.

  • Any other HR related school level matters.

Assistant to the Principal

  • To produce documentation required by the Principal working to short deadlines and ensuring that all documents are fully and accurately completed.
  • To receive the Principal’s telephone calls ensuring that:
  1. Only relevant calls are transferred to her/him.

  2. The remaining calls are dealt with by the appropriate personnel.

  3. Ad hoc queries are dealt with directly.

  • To manage the Principal’s diary, ensuring appropriate arrangement of all appointments, meetings and venues, hospitality, travel arrangements, accommodation (as required), minute taking and undertaking follow-up action as necessary.

  • To administer behaviour and exclusions documentation including facilitation of re-admission meetings.

  • To manage the Principal’s filing systems, preparing such papers as may be required for meetings and appointments.

  • To support the coordination and collation of information for the School’s Transition to Transformation, SEF, performance management and School Partner activity.

  • To maintain good relationship links with community partners.

Other Specific Duties

  • To play a full part in the life of the community, to support its aims and objectives and to encourage staff and children to follow this example.
  • To promote actively the Academy’s corporate policies and ensure compliance.
